Important Instructions for staff and various school organizations

Thank you for checking out this BETA version of the new website.  We are very excited about what this new "interactive" communications channel will bring to our school community.  I sent an email out earlier this morning, but here are some important instructions:

 

Please forward to your "folks" ie teachers and members or your organization.  Tracey please forward to the remaining founding committee members.  Lesley please post in the newsletter that the beta is out there and for parents to play around (parents do not have the ability to post anything so they really don't have to create a username, but if they do that's ok)...This email is specific to those that will be posting items to the web site, groups, etc.

Please go to our current web site, there is a link to the beta version.  We would like ALL teachers, administration, members of SAC, Gov Board, PTO and Founding Committee to create a user name and password off of the Beta site.  They MUST follow the following instructions----

1.  Go to "User Login" section
2.  Click "Create New Account"
3.  Create a User name and input your email address
4.  Please sign up for a Group that fits your category (your grade level, your organization, etc)

That's it.... an email will go to the web master.  Upon approval you will receive your temporary password.  You may change the password in your profile after initial log in.

Couple of key areas to provide testing and input:

1.  Overall functionality, look and feel
2.  User functionality -- Once you log in, your permissions in regards to functionality will be listed as menu items under your username.  For example you should be able to see create a blog, content, etc...

*************If training is needed, we need to hear it from the users to set up a date ASAP.

Also, in regards to Video and Pay Pal ---- We can do it, but we must get some direction as to where you want these items. 

We are asking users take at LEAST 30-45 minutes playing around with the program otherwise the users will not get a good enough feel to provide any productive feedback prior to launch.

The proposed launch date will be March 15th --- This will include all necessary changes that stems from the BETA, feedback, special needs video and pay pal....

Carpool situation...

Both my daughters attended a fairly good-sized private school, which (like "Imagine") did not have adequate parking space, etc.  However, the school allowed parents the option to either go through the carpool line or enter the school and pick up their kids via a "Signature Sign-out" list each teacher kept in his class. (See my suggestion below under "Carpool Suggestion").  Thus, the ENTIRE pickup process for parents took less than 10 minutes!  It was GREAT!  So, yes, another pickup process can be done at "Imagine" and IS currently being done at other schools that have the same space and staff limitations.  I forwarded my suggestions to Ms. Wright, Principal and Ms. Guillory, Asst. Principal at "Imagine" this morning via a letter.  Hopefully I'll get a response.

Pick up situation

I agree there has to be a better solution to this matter.  I have tried arriving early, arriving late, arriving at 3:00, and nothing seems to matter.  Yesterday I arrived at 3:00pm, and is was 3:55 before I had my child. 

 

Has the school tried staggering pickup times?  I am not sure how this would work, but there has to be a better way to do this.  What do some of the private schools do that has as large an enrollment?  I will be happy to look into this or any other suggestion, but,again, I agree this is not working.

Pick up situation

 

I agree that the times should be staggered. Maybe have K-3 get out at 2:30 and 4th-8th get out at 3:30. Or instead of people walking around getting names from people way back in the line which doesn't help anyway because by the time you get to the front of the line you still have to wait and at least two more people still come over to get your child's name, so we should have every person focusing on servicing the cars up front. If we have 5 people working 5 cars from the front of the line then that's 5 cars moving out quickly and then maybe have 1 person getting the #'s, child's name and grade for only the next 5 cars and write that down on a piece of paper ready to hand to the folks working on getting the kids.

There has to be a better way because I have gotten there at different times as well trying to figure out the best time but nothing helps. I'm there for an hour whether I get there early or later. It is very frustrating.

Carpool suggestion...

Hello.  I am curious as to whether the administration is open to suggestions about the current carpool madness.  Taking into account the school's priority of keeping students safe, as well as implementing an efficient and effective release program, I believe that if the school would consider the following "2-option" release system, these priorities could be achieved immediately.

 

The 2-Option Release System in a Nutshell:

The crux of this system affords the parents options, which would essentially curb pick-up and release wait times (i.e. no more wait times exceeding 45+ minutes!)  These options are...

1.  Allow parents the option to come into the school and get their children.  As under the present carpool system, if students continue to remain in their classes, teachers could keep a list of "carpool" students.  Hence, the only way a child could be released from the class is with a parent or guardian's signature.  The benefit of this "signature sign-out" method is three-fold: (1) the teachers get to learn the parents' faces, (2) security could still be achieved, and (3) there's no crowd at the front door.  Any child left in the class after 3:30pm would be taken directly to the ASP; and

2.  Allow the parents the option to still use the current carpool system.  Any parent not wanting to go to their child's class and sign them out, would still have the option to enter the carpool line and utilize the number system. 

 

Traffic control under this new "2-option" release system:

As in the mornings, if the school would designate only one lane of traffic for its carpool, the rest of the parking lot (including the church parking lot) could be used for parent "signature sign-outs".   Essentially, the current parking lot barriers could be abandoned and signs could be posted at the front of each parking row stating that parking is "For child-picks only.  5-minute max".  Thus, parents can park and pick up their kids.  Also, the curbside carpool lane can still flow easily without any merging lanes of traffic and traffic jams.  Plus, you still keep the left "exit" lane, as utilized in morning carpool.

I believe you would truly see parents stagger their pick-up times (resulting in  less chaos and traffic jams) if parents knew they had two safe, effective, and time efficient ways to pick up their kids. 

Under the current number system, it is unreasonable to ask parents to enter the carpool line at 1:30pm just so they can obtain their child within 20 minutes of being released at 3:00pm.  I personally have a daughter who will soon start gymnastics practice at 4:00pm, and under the present carpool mayhem, she will be 30-45 minutes late every time.  I can't afford to waste my money or gas, especially if there is a feasible solution that worth's trying.  I know the administration had a system that worked last year, but it doesn't now.  I hope they would be flexible and open to try another system that has already worked at other local schools.
